Conference topics can have files available for download. Often there will be a topic called ‘files’ within a conference, but other topics can have file lists too. Any topic in the In Basket that is marked with an [F] has a file list. To view the list of files available within a topic, open the message window to display the messages in the topic by double clicking the topic in the In Basket. Now go to the Conf menu and select File List or press F. If you have not previously looked at the file list for this topic you will be asked if you want to download the file list during the next blink. To download a file list for a topic, open the Message Window at the topic with the file list by double clicking the topic in the In Basket. (A topic with a file list will be marked with an [F] in the In Basket.) Now go to the Conf menu and select File List or press F. You will be asked if you’d like to retrieve the list on the next blink. Once you’ve downloaded the file list, double click the topic in the In Basket to open the Message Window. Now go to the Conf menu and select File List or press F. You will see a list of the files available for download. The list has two or three tab pages. The File List page shows the files that are available for any member of the conference to download. The Previous Downloads page shows a list of any files that you have previously retrieved from the current topic. If you are the moderator of the conference you will see an additional tab page called Directory. The Directory page shows the full list of files in the conference topic. To select a file for download, go to the File List tab page, click on the file you want and then click the Download button. An entry will appear in the Out Basket to retrieve the file on the next blink. The File List dialogue also has a button marked Update. Click this button to retrieve the latest version of the file list. You can also use the Find button to search for a particular file name. You can search for a file in any, or all, of the file lists held by Ameol. It is worth bearing in mind, however, that the file lists that Ameol holds will only be as current as the last time that you updated or downloaded them. To start a file list search, go to the File Menu and select Find in File Lists. First, enter the name or part of the name of the file that you’re looking for in the Find What text box. Now choose the topic whose file list you wish to search from the Folder list. If you want to search all the file lists held in a conference, choose the conference folder. If you want to search every file list held in your message database, then choose the database folder. Now click Find to start your search. If Ameol finds any files that match your search criteria then the ‘File List Search Results’ dialogue will appear listing the results of the search. If no files are found, then this dialogue won’t appear. You can try another search by entering new criteria or selecting another folder.
The ‘File List Search Results’ dialogue lists all the files found that match your criteria. Also shown are topics where the files were found, the file size and description. If the file you were looking for is listed and you want to download it, click on the file in the list and click the Download button. If your file isn’t in the list you can click the Find button to perform another search. You can send any type of file, to another user of the CIX Conferencing system, without the need for encoding. This process works by using mail directories on CIX. You upload the file to your mail directory and then forward it to the other user’s mail directory. They then download it directly from their own mail directory. Sending files this way is referred to as binmail. Because the encoding process has various temporary size over heads on your files, binmail is the best way to send files to other CIX users. This means that you’ll spend less time uploading files from your computer. Note that binmail is only available if you have Conferencing installed with Ameol. You can send a file to an email address not on CIX but the file will have to be encoded. To send binmail, go to the Mail Menu and select the Send File command. Click the Filename button to locate the file you wish to send on your hard disk. In the Send To text box, enter the CIX nickname of the CIX user that you’d like to send this file to. You can choose a name from the Address Book by clicking the Send To button. You can use this dialogue box to send a file to someone who is not a CIX user by entering their email address in the Send To text box. However, if do so, you will not be able to use the binary format and your file will have to be encoded in the same way as a file that you attach to an email message. Unless you are sending a file to a non-CIX user, leave the Format list at Binary. If you are sending to a non-CIX user select Uuencode. The Send cover note option will automatically send an email message to the recipient of the file informing them of the file that you have sent. The Delete after mailing option will remove the file from your mail directory after it has been sent. Click the OK button to send your file the next time Ameol blinks to the CIX conferencing system.
